Built for One-eyed Jack,
for the Festival of Motoring 2026.

Test drives at Kyalami, booked on the day.

We built the test-drive booking and check-in system that One-eyed Jack ran for the Volkswagen and Audi Driving Experience streams at the Festival of Motoring, at Kyalami from 28 to 30 August 2026. Guests booked a seat on the day, staff scanned them in at the cars, and each brand got its own report after the event.

Guests book

Seats for today, released while guests were at the track.

Every seat could be booked only on the day it ran. On Saturday and Sunday the seats went on the board in two releases: 07h45 for the morning sessions and 12h30 for the afternoon.

  • Today’s sessions only

No seat could be reserved ahead of its own day.

  • Two releases a day

The morning board at 07h45 and the afternoon board at 12h30, on Saturday and Sunday.

  • Signed while booking

Guests sign the indemnity as they book, and a seat is not confirmed without it.

  • A queue for full sessions

When a session is full, guests can join its queue and be called into a seat that comes free.

  • A QR code by email

The confirmation email carries the guest’s QR code for the cars.

  • A seat given back

A link in the same email lets a guest release their seat if their plans change.

At the track

Scanned in at the cars.

At the stand, staff scan each guest’s QR code before the drive. Guests without a booking are registered at the door, and guests in a session’s queue are called into seats that come free.

  • A Scan tab

The staff dashboard has its own tab for guests’ QR codes, and each scan at the cars goes on the record as a drive.

  • Walk-ins at the door

A guest without a booking can be registered at the stand and put in a car.

  • Called up from the queue

When a booked guest does not arrive, a guest from that session’s queue can take the seat.

All weekend

One dashboard for the team at the stand.

Staff sign in to a dashboard that holds every session, booking and queue across the three days, with the tools to run the stand from it.

  • Sign in with a code

A six-digit code by email, with a password kept for when the track’s mobile network is busy.

  • Every session at a glance

A grid of every session, with a roster for each one.

  • A manifest to print

Each session’s list prints for the team at the cars.

  • Find any booking

Search for a booking, open it, and cancel it if the guest asks.

  • An alert when a session fills

Within a minute of a session filling, the system sends an email alert.

  • Exports kept apart

Exports come in fixed sets, so guests who agreed to marketing are never mixed with guests who did not.

After the event

A report for each brand.

After the festival we built a three-day report for each brand from the booking record, prepared by One-eyed Jack. Volkswagen and Audi are reported on their own, and their figures are never added together.

Volkswagen.

The Volkswagen report opens on Sunday’s afternoon release: 195 seats, gone in 1 min 44. Over the three days it counts 964 drives by 928 people, and 981 seats booked of 1,020 at close.

  • How fast each release filled

Both afternoon releases cleared inside two minutes.

  • Day by day

Door walk-ups came within seven of the no-shows every day.

  • Where the queue stopped counting

Nine of twelve queues reached their ceiling, so those counts are floors, not demand.

The Volkswagen report’s totals: 964 drives, 981 seats booked and a fastest session of 31 seconds, above a chart of how fast each release filled

Audi Driving Experience.

The Audi report opens on the afternoon release: 135 seats, under a minute, twice. Over the three days it counts 667 drives by 628 people, against 648 seats offered.

  • Gone inside the minute

The 135 afternoon seats cleared in 56 seconds on Saturday and 51 on Sunday.

  • More drives than seats

Door guests and guests called up from the queues more than covered the seats no-shows left.

  • The queue as a floor

Fifteen of eighteen queues reached their cap, so 247 queue entries is a floor, not the size of the demand.

The Audi Driving Experience report’s totals: 667 drives, 628 people, 640 of 648 seats booked, 56 seconds to clear 12h30, 247 queue entries and every drive signed for
